To help make Charity Delivery request you may need to transfer some of your collected period products to another volunteer or vice versa.
Please see the below inventory transfer process:
Step 1- Log into Volunteer Me : https://sharethedignity.azurewebsites.net/
Step 2- Click on the pink 'Menu' button on the top right hand side of the screen, then click on the 'Transfers' tile.
Step 3 - Click 'Create Transfer' and select the correct answer to 'How much stock are you transferring'- either 'Everything I have' or 'Only some of my items'
Step 4- Scroll through the list to the item/s you are transferring and enter the quantity of items you are transferring.
Please note: If you have selected to transfer 'Only some of my items' your current inventory levels will be displayed in the 'Current Inventory' column. You may need to scroll across to enter the quantity. Tip: you may want to turn your mobile device landscape to make it easier to see all the fields.
Step 5 - Select where you are transferring the items to- either 'Another volunteer' or 'Transit Shed'
Step 6 - Select the name of the volunteer or Transit Shed. If you are not sure of the volunteers surname/email, please contact them via Workplace to confirm.
Step 7- You can then click the 'submit' button. The receiving volunteer will receive an email to alert them to the transfer. The transfer you just created will then sit in 'My Transfers' as PENDING until the receiving volunteer accepts.
To accept an incoming transfer, please follow the steps below:
Step 1 - The volunteer who is receiving the transferred inventory will need to log into Volunteer Me : https://sharethedignity.azurewebsites.net/
Step 2 - Click on the pink 'Menu' button on the top right hand side of the screen, then click on the 'Transfers' tile.
Step 3 - Any PENDING transfers should appear at the top of the list. Click on the transfer you would like to action.
Step 4 - Confirm the details are correct and either 'Accept' or 'Reject' the transfer.
Step 5 - Once accepted, both volunteers inventory will be updated accordingly.
Key points:
- If the transferring volunteer makes an error, they can delete the transfer- it is listed in their 'Transfers' menu. To delete, select the red trash can icon.
- Alternatively if the transfer is not proceeding or there is an error, the accepting volunteer can 'Reject' the transfer and a new transfer can be initiated.
- Inventory will only be updated once the transfer is completed
- An email is sent to the volunteer receiving the inventory and when the transfer is completed. However, the email is not required in order to complete the transfer. Once a transfer has been initiated, both volunteers can log directly into Volunteer Me and view the transfer &/or action as required.
- Ideally, transfers are completed prior to completing a Delivery in Volunteer Me.
- If you are transferring out of a Transit Shed i.e. you have collected products to enable you to fulfill a charities request, please complete this form: https://app.smartsheet.com/b/form/34db796d6d044b34ac94e5eff1748845. Please note: this form is processed manually so your inventory levels will not be adjusted immediately.
- If you need additional items to fulfill a request, please call out to other volunteers in your local Workplace Group. Once you have identified who you will either transfer or receive donations from, a transfer in Volunteer Me can be initiated.
